Chapter 3 - Smart health Calendar

The Smart Health Calendar is where you schedule events, add foods to meals and confirm scheduled events. You can review your confirmed Calendar events in the Health Managers.
  • Three Calendar views, called Schedule. Health, and Food, provide different ways to organize your Events for review.
  • A Date Selector lets you change to a different Calendar date.
  • Lists contain items for you to add to your daily Calendar, making them Events.
  • Meals and Foods have a special focus since they have a lot of details.
  • A planned Event is considered to be unconfirmed. Once you complete an Event, you can mark it confirmed. Confirmed Events appear in graphs and reports in the BALANCE PC Health Managers.

  • Views

  • Three Calendar views organize your daily scheduled Meals and Events by time, category, and meals:
    • Schedule - Events and Meals organized by time of day.
    • Health - Events and Meals organized by category.
    • Food - Daily Meals including their foods, nutritional totals and nutritional targets.
There are three ways to select the daily Calendar:
    • Click the Calendar icon in the Home Screen, or
    • Click the Calendar icon in the jump bar, or
    • Select Jump / Calendar from the menu bar.
You can switch between the Calendar views by selecting View from the menu bar, or by using the appropriate selection tab at the bottom of the Calendar.

    The Schedule View
The Schedule view sorts Events and Meals by time of day. Meals are highlighted so that they stand out from other Events. If an Event does not have an associated time, it appears in the Events section.

    The Health View
The Health view sorts Events into five sections: Medical, Drugs, Exercise, Meals, and Appointments. Events are sorted by time of day within each section. If an Event has no specified time, it appears at the top of its section. As more Events are added to any section, the section may expand to show all its Events, adding a vertical scroll bar when necessary.

    The Food View
The Food view gives you a detailed view of all your meals, listing all the foods in each meal and nutritional totals (see the
Diet & Weight Manager). The Food view also compares your daily nutritional totals with your targets so that you can quickly see how you did that day. You can change nutrient targets and display order by Clicking on the Nutrient Totals area at the bottom of the Food View. Choose targets or display order to make your changes.

  • Calendar Date Selector

  • The Date Selector is located in the upper right part of the Calendar screen. It is used to change the Calendar view to a different date. The Date Selector highlights the date that you are currently viewing. You can select a different day, month, or year, or quickly return to today's date. To go back to today 's date, Click 'Today'.
    To change to a different:
    • Day of the current month. Click the day.
    • Month. Click the name of the month from the month selection bar.
    • Year. Click the previous or next year. Continue to Click the left or right year button until the year that you want is highlighted.

  • Calendar Lists

  • Lists contain items to add to your daily Calendar. All lists are available from the Calendar's Schedule and Health Calendar Views. From the Calendar's Food View, only the lists Foods, My Foods, and Foods - Set Filter... are available.
The following table shows the lists:

Special Lists for frequently used items

      My Events
My Events is a list of all Events that you have added to your Calendar. When you schedule an Event, the Event is added to this list, making it easy for you to schedule the Event again. Several Events are in this list as a convenience for new users, as are any plans that you scheduled when you took the Interview. You can delete an item on this list that you don't use often. You can select it from its original list again if you need it. If you search for an item on the My Events list and do not find a match, three buttons appear that allow you to schedule an Appointment, Doctor Visit, or Hospital Stay.

      My Foods

When you add a food to a meal, you have the option to add the food to this list and even to define the name for the foods as it appears in this list. This makes it easy to find foods that you eat often. You can delete an item from this list if you aren't planning to use it very often. You can select it from its original list again if you need it.

      Appointments
Appointments is a list with several types of items to schedule on your Calendar - Appointment, Doctor Visit, Holiday, Hospital Stay and Travel. Similar to the My Events list, this list shows all Doctor Visits and Hospital Stays that you have scheduled. When you schedule a Doctor Visit to a new doctor, or a Hospital Stay at a new hospital, these Events are added to this list as well as to the My Events list, making it convenient to select them at another time. You cannot delete an added item from this list. If you search for an item on the Appointments list or the My Events list. and don't find a match, three buttons appear allowing you to Schedule an Appointment, Doctor Visit, or Hospital Stay.

For example, choose the Tests list and type the letters "wei" in the input field, then Click the Find button. The item weight is highlighted below the input field and its name is echoed at the bottom of the screen. You can Click the 'Use' button to schedule this weight Event now. To schedule an Event you can also Click and drag the list item to the Calendar on the left side of the screen, or you can Double-Click the list item. In either case, the Edit Event dialog box appears for you to fill in the details of the Event.

Whenever you search for an item on the exercise, test, or food list, if the item is not found, a Create button appears. You can also create a new list item for any of these lists without searching by selecting List / Create List Item from the menu bar, or right-Clicking on any item in the list and selecting Create List Item. The Create dialog box appears. Fill in the fields, then Click 'OK' when done.

A confirmation appears. If you Click Delete, it will also delete all uses of the item. Note: If other users are using the item, a second dialog box appears. The other users need to delete all their uses of the item before it can be removed from the list.

  • Calendar Events

  • Events are items scheduled in your Calendar from the lists. Meal Events are discussed in the Foods and Meals section later in this chapter. The intermediary step between the selection of an item on a list and its appearance in the Calendar is an Edit Event dialog box.

Selecting and Adding an Event to the Calendar
To add an Event to the Calendar, you select it from a list. First select a list. Then perform one of these three steps:
    • Highlight a List item and Click 'Use' or
    • Double-Click a List item or
    • Click and drag the item from the list to the Calendar. If your cursor briefly switches to a "NO" symbol, try dragging it to a different part of the Calendar or a different Calendar view. You can change views by Clicking the appropriate view tab.
When the Edit Event dialog box appears, fill in your relevant information.

    Edit Event Dialog Box
An Edit Event dialog box appears when you select an item from a list, or when you edit a scheduled Calendar Event. A unique Edit Event dialog box for each list item allows you to customize the Event. For example, to record a walking exercise, select the Exercises list. Search for "walk", then Click 'Use' to select it. The Walking dialog box appears, with fields for date, time, duration, distance, intensity, and notes. The date is required; all other fields are optional. If you do not specify a time, the Event is added to your Calendar with no specific time. Click 'Plan' to schedule an Event for more than one day. For information repeating Events, see Scheduling and Editing a Repeating Event. Once you are satisfied with your edits, Click 'OK'. The Event appears in the Calendar for the date indicated and on the My Events list. You can edit it at any time by selecting it directly from the Calendar. To create a new event, or edit an existing event, make your changes in the Edit Event dialog box that is associated with the Event.

Blood Glucose and Insulin Event Dialog Boxes
The Blood Glucose dialog box has a field called Reading that associates the measurement with a meal event, Bedtime, or Night. The Insulin dialog box has a similar field called Injection. For more information about these relationships, see the
Diabetes Manager section, Typical Day. The Readings / Injections that you can choose include: Pre-Breakfast, Post-Breakfast, Pre-Lunch. Post-Lunch, Pre-Dinner, Post-Dinner, Bedtime, Night, and Other. Later, when you review Events in the Diabetes Manager. all "Pre-Breakfast" Events graph together. This makes it easy to review, for example, Pre-Breakfast Events as they relate to each other. The Time and Reading / Injection values are both needed to produce reports in the Diabetes Manager. Analysis by just one of these factors does not give you a complete health picture. Thus, Balance makes sure that both fields are filled in, even if you only fill in one of them.
When you enter a new Blood Glucose Event, (but not when you edit an existing one), the Blood Glucose dialog box automatically associates the Time with a Reading based on information that you provided in the Diabetes Manager section, Typical Day. If you enter only a Time, the Reading field is set for you. If you enter only a Reading, the Time field is set for you. If you enter one of these fields and then change the setting of the other field, Balance does not change either value. The Injection and Time fields of an Insulin dialog box are linked in the same way as the Reading and Time fields of the Blood Glucose Blood Glucose dialog box, described above. Let's say, for example, that you have Breakfast set at 7:00 am in the Typical Day section of the Diabetes Manager. When you schedule a Blood Glucose reading for 6:00 am, the dialog box automatically sets the Reading field to "Pre-Breakfast."

    Editing a Scheduled Calendar Event
To modify a scheduled Calendar Event, you can bring up the Edit Event dialog box in one of two ways:
    • Double-Click the Event, or
    • Click the Event to select it (it becomes highlighted) then select Edit / Edit Event from the Calendar menu bar.
When the Edit Event dialog box appears, make any changes and Click 'OK' to accept the changes, or 'Cancel' to ignore them. To edit a meal time or the foods in a meal, see Foods and Meals in this chapter.

    Confirmation of Calendar Events
BALANCE PC distinguishes between Events that you actually did and Events that you did not do. Events that you actually did are called confirmed, while others are unconfirmed.
Confirmed Events have a V sign in the Calendar margin next to the Event. BALANCE PC managers create graphs and reports of confirmed Events only.

    To confirm an event:
    • Click the checkbox to the left of the Event in the Calendar, or
    • Select the Event: then select Edit / Confirm Selected Events from the Calendar menu bar.
When you create or edit an Event, BALANCE PC automatically confirms the Event if the date for which it is scheduled is earlier than the Calendar date that you are currently viewing.
When you are done editing, a V sign appears in the Calendar margin next to the Event.
If you spot a mistake, you can unconfirm an Event by either Clicking the Event's checkbox to remove the V sign, or by selecting the Event and choosing Edit / Unconfirm Selected Events from the Calendar menu bar.

    Deleting an Event
To delete an Event, Click the Event to highlight and select it; then select Edit / Delete from the Calendar menu bar. In the Food view of the Calendar, you can delete a food from a meal in the same way.

    Scheduling a Repeating Event
To schedule a repeating Event, select an item from a list and Click 'Use'. The edit Event dialog box appears. Click 'Plan'. You are given several choices of repeating patterns. Some patterns let you set the starting date for the repeating Events, the ending date, and any exceptions to the pattern.
Click 'OK' again to submit the Event for all the days specified. If any days are earlier than the date you are currently viewing, you are given the option to have the earlier Events automatically confirmed.

    Editing a Repeating Event
You can edit one or all occurrences of unconfirmed, unedited repeating Events. To modify a repeating Event in the Calendar:
    • To edit a specific occurrence of a Repeating Event, Double-Click the Event, or Click the Event to select it (it becomes highlighted). Then select Edit / Edit Event from the Calendar menu bar. When the Edit Event dialog box appears, you cannot change the date, but you can make any other changes. Then Click 'OK' to accept the changes, or 'Cancel' to ignore them or
    • To edit all unconfirmed, unedited occurrences of a Repeating Event, Click on one occurrence of the Event in the Calendar to select it (it becomes highlighted), then select Edit / Edit Plan from the Calendar menu bar. When the Plan Scheduler dialog box appears, you can make any changes then Click 'OK' to accept the changes, or 'Cancel' to ignore them.
    Confirming a Repeating Event
You can confirm a repeating Event the same way as you confirm a non-repeating Event. For more information, see the section Confirmation of Calendar Events in this chapter.

    Deleting a Repeating Event
To delete a repeating Event, click the Event to highlight and select it. Then select Edit / Delete from the Calendar menu bar. You are given the choice to delete only that single Event, or all unconfirmed, unedited occurrences of this Event in the repeating Plan.

  • Foods and Meals

  • Meals are Calendar Events to which you add foods. There are so many details associated with meals and foods that they have their own Calendar view, called Food. To change to the Food view from the Schedule view. Click the Food tab.
The Food view of the Calendar lists all the foods in your meals including nutritional daily totals and targets. It shows the Meal names and the time of day that they are scheduled. It also shows you the totals of your top four nutrients for each meal.
Each day is pre-scheduled with Breakfast, Lunch, and Dinner, plus up to three additional snacks which you may set in the Diabetes Manager, Typical Day. You can also create as many additional snacks as you want on any particular day in the Calendar.
You cannot delete or rename Breakfast, Lunch, or Dinner. If you want to schedule a snack, you can name it and set the time for it. If you change your plans, you can delete the snack. BALANCE PC provides you with a list of foods to add to meals. You can save the contents of a Meal to a Named Meal, so that you can schedule that Meal at any time, without choosing all the foods again. You can also define Recipes. When Named Meals are added to Calendar Meals, their contents are copied to the Calendar Meal. When Recipes are added to Calendar Meals, the contents remain hidden and only the Recipe name is copied to the Calendar Meal.

The Foods list contains thousands of foods, saved meals (Named Meals) and Recipes (see also Saving the Contents of a Meal as a New Named Meal, and The Meal and Recipe Editors, later in this chapter). It is easier to search the Foods list for one of these, than it is tot scroll through the list. To add a food, Named Meal, or Recipe to a Calendar meal, go to the Smart Health Calendar and select either Foods, or My Foods.

    Searching the Foods list
A search looks for items which contain all the words (or beginnings of words) that you have typed in the search input field. All matching items appear in a sublist. If you don't find the food you are looking for, you can create one (see Creating a New Food, Saving the Contents of a Meal as a New Named Meal, and The Meal and Recipe Editors later in this chapter).

A Description of an Edit Food Dialog Box
An Edit Food dialog box appears when you use a food from the Foods list, or the My Foods list, or edit a food in a Meal, or when you create a new food. To add a cup of 1% Milk to today's Breakfast, for example, select the Foods list from the Calendar screen. Double-Click 1% Milk to select it. A Food dialog box appears with the information for the food, 1% Milk. Choose the serving size from the serving size dropdown list. Click 'Create a New Food' to bring up the Create a Food dialog box and enter as much nutrient information for the food as you can. When you complete the fields, Click 'OK' to add the new food to the Foods list. If an Edit Food dialog box appears, you can schedule the food immediately. If you cancel, the new food does not appear in any meal yet, though it is still in the Foods list.

    Editing a User-entered Food
If you want to change the definition of a food that you created, highlight the food in the Foods list then select List / Edit List Item from the menu bar, or right-Click on the name and select Edit List Item. The Edit a Food dialog box appears, similar to the Create a Food dialog box. Make your changes; then Click 'OK' when done.

Note: If other users are using the item, they need to delete all their uses of the item, too, before it can be removed from the list.

Displaying Nutrients in the Foods list
To see the nutrient information in the Foods list, or the My Foods list, Click the box labeled Nutrients. The serving size and top two nutrients appear for all the foods. The LifeTime Food and Nutrient List offers you a full screen version of the Smart Health Calendar Foods list and shows more nutrients for each food. To get to this List. Click its button in either the Diet & Weight Manager or the Library.

    Filtering the Foods list
You can limit the search for any food in the Foods list to a specific food group, such as Dairy, Fruits, or Beverages, or to a specific category within a food group, such as Dairy/Milk.
You can also limit the search tot any or all of these food sources:
    • USDA foods
    • Brand-name foods
    • Restaurant
    • User-entered
These limited searches are called filters.
Published by the United States Department of Agriculture, USDA foods are a generic list of foods, for example, "apple." Brand-name foods are associated with a particular commercial manufacturer, such as Kraft. Restaurant foods are associated with restaurants such as Wendv's. User-entered foods are created and named by you.

      Choosing a Food Filter
Click the list button and select Foods - Set Filter... to choose a food filter. Select a Food Group such as Dairy. You can narrow your search by selecting a Category, such as Cheese Click 'OK' when done. The list selection button shows the selected Food Group - Cheese, in this example.

      • Click 'OK'.
Only brand-name fresh fruits appear on the list. To turn filters off, Click the list button and select Foods. To turn filters on, Click the list button and select Foods - Set Filter....

Searching the Foods - Set Filter list
If you don't find the food you are looking for, two buttons appear, Search entire Food List and Create a New Food. These give you the option to search the entire Foods list for the food you specified. or to create a new food. Try searching the entire food list first, before creating a new food that might already be somewhere else in the Foods list.

Saving the Contents of a Meal as a New Named Meal
You may want to plan the same meal more than once, and it would be tedious tot add all the foods each time you want tot plan that meal. BALANCE PC lets you define a meal by saving the contents of a meal to a Named Meal. Named Meals can then he added tot Calendar meals where their contents are copied. This is like adding all the foods but it all happens by adding one Named Meal instead. If the recipient Meal actually has some foods in it already, the foods from the Named Meal are added to those.
To save the contents of a meal:
    • when you are in the Food view, click the margin beside the meals.
    • when you are in the Schedule view, select the meal you want tot save, then choose Calendar from the menu bar.
Select Save as New Named Meal. When you have completed the fields, Click 'OK'.
The properties and contents of a Named Meal can be viewed and modified in the Meal Editor. See the section, The Meal Editor for more information.

    The Meal and Recipe Editors
You can create a Named Meal, so that you can schedule that Meal at any time, without choosing all the foods again. You can also define your own Recipes.

Where to find Named Meals and Recipes
Named Meals and Recipes are found in the Calendar Foods list by searching for them by name. When they are first created. they are also added to the My Foods list.

How Named Meals and Recipes appear in Calendar Meals
When Named Meals are added to Calendar Meals, their contents are copied to the Calendar Meal. If the Named Meal is latter edited in the Meal Editor, this has no effect on any Calendar meals tot which the Named Meal was added.
When Recipes are added to Calendar Meals, their contents remain hidden and only the Recipe name is copied to the Calendar Meal. If the Recipe is later edited in the Recipe Editor, it is also changed in any Calendar Meals that include the Recipe.

      The Meal Editor
The Meal Editor lets you create new Named Meals, and manage Named Meals that were saved in the Smart Health Calendar. To get to the Meal Editor, select Jump / Meal Editor. You can create, edit, rename, delete, and search for meals in the Meal Editor. The Meal Editor screen consists of several sections.

      Creating a Named Meal
To create a meal, Click Create. Type the name of the meal in the Create a Named Meal dialog box and Click 'OK'. The meal is added to the Meal List and its name appear in the Current Meal Name field. It can now be edited.

Using a Named Meal in a Calendar Meal
To use a Named Meal in a Calendar meal, first go to the Smart Health Calendar. Then search for the Named Meal name in the Calendar Foods list. Add the Named Meal to your Calendar meal as you would add a food. The content of the Named Meal are copied to the Calendar Meal.

      Searching for a Named Meal
To search the Meal List for a Named Meal, Click 'Find'. Type the name or partial name of the Named Meal in the Find a Named Meal dialog box, then Click 'OK'.

Named Meals cannot have Duplicate Foods
When adding a food to a Named Meal, if the food is already in the Named Meal, the new occurrence replaces the existing one. For example, if you have 1 cup of orange juice in the Named Meal already and you select 2 cups of orange juice from the Foods list to add to the same Named Meal, it overwrites the existing entry. So if you really want 3 cups in the Named Meal, edit the orange juice food in the Named Meal and change the serving site to 3 cups.

      Duplicate Foods
In the Food View of the Calendar you CAN have a food more than once in a scheduled meal. If you decide to select such a meal and save it as a Named Meal, identical foods are combined and their serving sizes are added, so that it is only listed once in the Named Meal in the Meal Editor. This feature preserves serving amounts and nutrient totals for that meal.

    The Recipe Editor
The Recipe Editor lets you create your own recipes. You can select the Recipe Editor from the Diet & Weight Manager, or from the menu bar - select Jump / Recipe Editor. You can create, edit, rename, delete, and search for Recipes in the Recipe Editor. The Recipe Editor screen consists of several sections.

To add a new line to the instructions, press [Enter]. To delete a food, highlight it in the Recipe and select Edit / Delete flow the menu bar. To delete instructions from the Recipe, simply highlight the text and backspace, or type over it. Your Recipe is now changed and all Calendar meals that contain this Recipe are also changed.

      Searching for a Recipe
To search the Recipe List for a Recipe, Click 'Find'. Type the name or partial name of the Recipe in the Find a Recipe dialog box and Click 'OK'.

Using a Recipe in a Calendar Meal
To use a Recipe in a Calendar meal, first go to the Smart Health Calendar. Then search for the Recipe name in the Calendar Foods list. Add the Recipe to your Calendar meal as you would add a food. The contents of the Recipe remain hidden and only the Recipe name is copied to the Calendar Meal. If the Recipe is later edited in the Recipe Editor, the Calendar Meal's nutrient totals are adjusted to reflect the new definition of the Recipe.
